Conditions of Entry

Guidelines and Rules

1. Entries to The Shoot Out Geelong can be submitted up until 9.00pm on Friday 21 September 2007 at Council Conference and Reception Centre, Little Malop Street Geelong.

2. Registration (including process of entry forms) takes place at this location between 7.00-9.00pm.

3. Those wishing to enter prior to the night can do so by downloading the Entry Form from this website, filling it in, and submitting it complete with payment via post  to The Shoot Out Geelong, PO Box 104, Geelong VIC 3220 or direct to City of Greater Geelong Customer Service Centre, City Hall, 30 Gheringhap Street, Geelong VIC 3220.

5. Entries will not be accepted if the Entry Form is not fully complete.

6. Entries must include payment, being a non refundable entry fee of $50 (GST Inclusive) for the producer, then $15 (GST Inclusive) for each team member (up to a total of 10 people. Additional participants over and above the 10 are eligible to take part at NO CHARGE, but still must complete their details on the entry form. Payment should be sent (with posted entry forms) as either a cheque or money order to:

7. Only registered team members will be eligible to win category prizes in the Top Ten, such as Best Director, Best Actor, etc.

8. If you wish to have your completed film on Mini DV tape returned post event, a $10 payment (GST Inclusive) is required for postage and handling.

9. Entrants in The Shoot Out Geelong under the age of 18 must have signed consent from a parent of guardian on their entry form to take part. Failure to do so will rule entry ineligible.

Registration

1. All Participants in The Shoot Out Geelong must register in person between 7.00-9.00pm on Friday 21 September 2007. Registration takes place at Council Conference and Reception Centre, Little Malop Street Geelong.

2. For those teams that have entered prior to 21 September, attendance at registration on the night is still required to ensure that all relevant releases, permissions and approvals for participation are completed and received by The Shoot Out Geelong.

3. Official Shoot Out Geelong Team Bags will be provided to each team at registration along with the supply of a MiniDV tape (for entry submission). Additional release forms and other information will also be available.

4. At approximately 9.00pm at registration, entrants will receive the official 2007 Shoot Out Geelong Brief. This is a list of fifteen items from which entrants must include five in their completed film. One of these items MUST be included in the film's first scene.

5. The 24-hour filming period of the event will commence at 9.00pm on Friday 21 September 2007 and will conclude at 9.00pm Saturday 22 September 2007.

6. Under no circumstances will entries be accepted after 9.00pm on Saturday 22 September 2007.

Competition Rules

1. All people taking part in the making of a film at The Shoot Out Geelong MUST be registered. It is the Producer/Team leader’s responsibility to ensure all participant details are registered in the Entry Form.

2. Entrants are responsible for the provision of camera gear and all equipment required to take part in the event.

3. Mini DV/Audio Dubbing Studios are provided at Council Conference and Reception Centre, Little Malop Street, Geelong. The facility operates between 11.00am and 9.00pm Saturday 22 September 2007. Access to the Studio is limited to 15-minutes maximum per team and entrants must book use of the facility at the time of registration, Friday 21 September 2007.

4. Completed films must be dubbed on to a Mini DV tape (provided at registration) before it is handed in for competition/consideration (prior to 9.00pm Saturday 22 September 2007).

The Films

1. Each film must be made specifically for The Shoot Out Geelong 24-Hour Filmmaking Festival 2007.

2. All components of the submitted film must have been produced between 9.00pm Friday 21 September 2007 and 9.00pm Saturday 22 September 2007

3. Each film must be a maximum length of 7 minutes. Films submitted with a running time exceeding 7 minutes will be ineligible for competition.

4. Each film must contain FIVE of FIFTEEN potential items included in the Brief, details of which are provided to entrants at approximately 9.00pm on Friday 21 September 2007 at registration. One of these items must be included in the first scene of the film.

5. Films submitted for competition must have been produced in accordance with the conditions of entry and event guidelines or will be considered ineligible.

In-camera Editing

1. No editing whatsoever, other than in-camera editing, of your film is allowed. In-camera editing means that films must be shot in sequence (produced in a linear manner). A scene may be shot, the tape rewound, previewed, and re-shot if required.

2. No external means of editing are allowed. This includes: use of an editing suite, any method that views vision through a monitor, connection of more than one camera/video recorder, computer (including editing related software), and any other form or technology aside from the camera used to shoot the footage.

3. No use of memory sticks, or internal memory functions of your Video camera are allowed.

4. The purpose of The Shoot Out is to foster and encourage the creative process of filmmaking, rather than recognise the access to and use of resources and technology that may be available to some entrants.

Dubbing of Audio

1. Dubbing of voice over of music bed to your film (during the dubbing process of vision/audio to the Mini DV tape provided) is allowed. This can be done at the event Mini DV/Audio Dubbing Studio or elsewhere as long as any audio is DUBBED to the tape and not edited. Under NO circumstances can any sound be edited onto vision.

2. Edited audio (an existing or original track) can be used as a music bed for your film as long as it is dubbed on to the vision and not edited. The use of music is only permitted where proof of copyright for the material is provided to The Shoot Out Geelong. The Producer/Team leader of the entry must hold ONGOING copyright for music, voice-over, images and performance used in their film so the completed entry can be shown (internationally if required) at the discretion of The Shoot Out Geelong and 24 Hour Events Pty Ltd for an indefinite period (from 21 September 2007).

3. All relevant copyrights as outlined above are the direct responsibility of the Producer/Team leader of the entry and will need to be provided to The Shoot Out Geelong at the time of tape hand over (by 9.00pm Saturday 22 September 2007) or before if required.

4. Failure to provide proof of copyright via completing the Music Release Form will render the entry ineligible for competition. Click here for all release forms.

The Shoot Out Geelong Music Library

1. Entrants will have access to The Shoot Out Geelong Music Library. The Library contains ‘copyright free’ instrumental and vocal tracks from a variety of regional artists.

2. Music can be previewed and accessed pre event from City Hall - entry via Gheringhap Street Geelong, at the registration on Friday 21 September 2007 or through The Shoot Out Geelong's Audio/Video Dubbing Studio on 22 September 2007. The music cannot be downloaded or loaned to filmmakers.

3. Entrants using music from the Music Library, MUST credit the artist and track in their film credits. So, it’s important to decide on the music choice PRIOR to making your film.

Submission of Films

1. All films must be submitted on the registered Mini DV tape provided to entrants at registration on Friday 21 September 2007. Additional tapes will not be provided and substitute tapes will not be accepted.

2. Under NO circumstances will entries be accepted after 9.00pm on Saturday 22 September 2007. Entrants are strongly advised to submit their film WELL in advance of 9.00pm where possible to avoid disqualification. Films submitted after 9.00pm will not be eligible for competition.

3. Each entrant must detail the FIVE items from the Brief, which were included in their submission.
